How To Work With Universal Profiles (Beta)

Universal Profiles let you manage content for platforms without direct integration, ensuring your social strategy stays on track. SmarterQueue’s mobile and email notifications make it easy to publish posts manually, so you can stay consistent across all your platforms, even those we don’t fully integrate 💪

What Are Universal Profiles?

Universal Profiles allow you to schedule posts for social profiles that SmarterQueue doesn’t directly integrate with, providing a flexible solution for managing content across all your platforms.

You can add Universal Profiles for any platform, including Facebook Personal Profiles, Groups, and Personal Instagram Profiles, which have API limitations that prevent integration, as well as platforms like Bluesky, Mastodon, or Snapchat, which we don’t currently support but understand are essential to your social strategy.

By acting as placeholders within SmarterQueue, Universal Profiles let you organize and plan content seamlessly across all platforms, keeping your workflow efficient and your strategy adaptable.

Notifications ensure you never miss a post. When it’s time for a post to go live, SmarterQueue sends you a notification containing the post content, helping you to publish it manually. This notification system enables you to stay on top of all your scheduled posts and gives you full control over the publishing process on these platforms.

Note: Currently notifications for Universal Profiles are sent by email. Mobile notifications are coming in early December for iOS devices, and Android notifications will come in January/February of 2025. Mobile notifications for iOS and Android continue to work for Personal Instagram Profiles. .

This approach keeps your content planning streamlined in SmarterQueue, allowing you to coordinate posts across all profiles from one place. Notifications add a quick, seamless step to your workflow, providing you with flexibility while maintaining the personalized, adaptable approach required by these platforms.

How To Add A Universal Profile

Universal Profiles are managed alongside your fully integrated profiles, all from the same place in SmarterQueue. Whether it’s a profile directly connected for automated publishing or a Universal Profile set up as a placeholder, you can easily add and manage all your social accounts together for a seamless experience.

Simply follow these few steps:

Navigate to the Profiles page on your SmarterQueue dashboard, and click the "Connect" button for Universal Profiles.

Upload a profile photo (this step is coming soon!).
Write a profile name.
Select the social platform from the dropdown menu to display its symbol in the bottom right corner of your profile picture.

Note: If your platform isn’t listed, select "Other". You can choose a color for the icon and type the platform name.

Click "Add Profile".

Congratulations! You have now added a Universal Profile, and you're ready to start publishing content 🎉

How To Create A Post For A Universal Profile

SmarterQueue lets you create and manage posts for all your profiles, both fully integrated profiles and Universal Profiles, together in the same Post Editor 💪

This unified approach makes it easy to organize and schedule your content from one place. While posts for fully integrated profiles are published automatically, posts for Universal Profiles follow a simple workflow using mobile or email notifications to guide you through manual publishing. No matter the profile type, you can efficiently manage all your content side by side.

To start creating your content, follow these steps:

Navigate to the Post Editor by selecting "Create a Post", then select the desired Category.
Select which Social Profile(s) you want to publish your post to by clicking on the profiles' icons (you can select one or more Universal Profiles, as well as cross-post with other social media platforms).

Note: Universal Profiles feature a bell icon in the top right, indicating that content will be published via email or mobile notifications. When you select a Universal Profile, a message will confirm that you’ll receive an email or mobile notification at the scheduled time, based on your settings.

Now, you can write the text you want to share on your post, add links, emojis, or use saved Snippets.

Note: When creating a post for a Universal Profile, SmarterQueue won’t enforce a character limit. Be mindful of the limits on your chosen platform, as you may need to shorten your caption when publishing.

Next, add media to your post.

Note: The post preview in the Post Editor may not accurately reflect how your content will appear on the selected platform, as Universal Profiles can represent any social platform. Be sure to check your platform’s specific formatting guidelines when publishing.

Select your scheduling and Evergreen settings and finish up your post.

Congratulations! You have now created a post for your Universal Profile, and you will receive a mobile or email notification when it's time to publish it 💪

How To Use Mobile Notifications To Publish Content (Coming Soon...)

When it’s time for your scheduled post to publish, we’ll send a push notification via the SmarterQueue app on your iOS device (coming in December 2024), so you never miss a scheduled post.

Note: Mobile notifications for Android devices continue to work for Personal Instagram Profiles. For all other Universal Profiles, email notifications are the current solution, but mobile notifications are coming soon.

Here’s how to use these notifications to publish your content:

Open the app via the notification or navigate to the notification list in the SmarterQueue app.
Select the post to preview it.
Tap "Post To [platform]" to launch the platform app, or open it manually if unsupported.
Add the caption to your post and upload the downloaded media content.
Publish your post! 🎉

Mobile notifications make it easy to stay connected and publish posts directly from your device.

How To Use Email Notifications To Publish Content

If you're currently using an Android device, at your scheduled posting time, we’ll automatically send an email notification to your SmarterQueue login email - no extra steps needed on your part!

Note: If you're on iOS and are looking for an alternative workflow to mobile notifications, you'll need to enable email notifications from your account Settings.

Here’s how to use these notifications to publish your content:

Open the email notification and save any media content to your device.
Access your social profile and start creating your post.
Add the caption from the email to your post and upload the downloaded media content.
Publish your post! 🎉

Update Email For Publishing Notifications

By default, notifications are sent to the email address you use to log in to SmarterQueue. If you’d prefer notifications go to a different address, such as a colleague’s, follow these steps:

Click the gear icon in the top right corner.
Select "Settings".
In the left-hand menu, choose "Email Preferences".
Scroll to "Publishing Notifications" and update the address under "Secondary Email for Publishing Notifications". (Changes save automatically!)

This simple setup helps you manage the publishing process seamlessly, even when handing off responsibilities to team members.

Note: In the "Publishing Notifications" section, you’ll also see a setting called “An Instagram post is ready to be posted.” This setting is specifically for creator and business Instagram profiles, allowing you to receive both an email and a mobile notification for Instagram posts that require manual publishing. This does not apply to Universal Profiles or Instagram Personal profiles.
